Terms & Conditions

Last updated: 07/10/2026

1. Who you are contracting with

PhysioBill SA is operated by Renier Hattingh ("the seller", "we", "us"). By creating an account or continuing to use the service, you agree to these terms and confirm that you have the authority to bind your practice or organisation, or that you are of legal age to contract.

2. The service

PhysioBill SA is a billing and invoicing platform for South African physiotherapy practices. It lets you record treatments, manage billing codes and tariffs, generate invoices and statements, record payments and keep patient billing records. The practitioner using the service is always responsible for confirming that billing codes and tariffs accurately reflect the services provided and the applicable payer requirements.

3. Acceptable use

You must not misuse the service. This includes:

  • using the service for any unlawful purpose, fraud or spam;
  • infringing the intellectual property rights of others;
  • introducing malware, probing or scanning the service, or scraping its content;
  • reverse engineering, reselling or redistributing the service, or circumventing technical limits;
  • uploading content you do not have the right to use.

4. Your account

You must keep your login credentials confidential, provide accurate information and keep it up to date. You are responsible for all activity under your account and for the patient data you capture, including your obligations under the Protection of Personal Information Act (POPIA).

5. Intellectual property

We retain ownership of the service and its intellectual property, including the software, documentation and branding. We grant you a limited, non-exclusive, non-transferable right to use the service within your selected plan. You retain ownership of the data you capture; you grant us a limited licence to host and process it solely to provide the service.

6. Payments and subscriptions

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns. Payment, billing, tax, cancellation and refund mechanics are governed by Paddle's Buyer Terms. Subscriptions renew monthly until cancelled, and new practices get a 21-day free trial with no card needed.

7. Service level

We do not guarantee uninterrupted or error-free performance. The service is provided "as is" and we disclaim all implied warranties, including merchantability and fitness for a particular purpose, to the fullest extent permitted by law.

8. Suspension and termination

We may suspend or terminate access for material breach of these terms, non-payment, security or fraud risk, or repeated or serious policy violations. When access ends, you may request an export of your data within 30 days, after which it may be deleted.

9. Liability

To the fullest extent permitted by law, our aggregate liability is capped at the fees you paid in the 12 months before the claim, and we are not liable for indirect, consequential or special damages such as loss of profits, data or goodwill. Nothing in these terms excludes liability for fraud, death or personal injury where the law does not allow it.

10. General

These terms are governed by the laws of South Africa, and disputes will be heard in the South African courts. You may not assign these terms without our consent; we may assign them in connection with a merger or acquisition. We are not liable for delays caused by events beyond our reasonable control.
